We use a program called DigiRez for our room/equipment booking needs. It is reasonably priced (225 Euros, about $275 when we purchased it last September). It's quite easy to use and does exactly what you describe. It runs on Windows 98+ and, since it is web-based, can be accessed by PCs as well as Macs. I would point out, however, that there are some glitches on the Mac side due to problems with Apple's implementation of Java (which affect many other applications as well).
