Hi there, Edith,

Just before & during the first few days / weeks of each semester, our faculty
members fill out a 'lab reservation request mail form' at our webpage,
http://www.cy-faircollege.com/41575/. As you can see, the mail form asks for
visit dates, start times, end times, & other pertinent info. 

For classes that meet 3-5 hours a week for 15 weeks, we typically have plenty of
time slots available with our two language labs (each can hold 25 students) to
allow each section to have visits ranging anywhere from 1 to 3 hours each week
or every other week, as the instructor sees fit. Every once in a while, we do
have to double-up in a given lab, having two small classes going on at once. 

Once the instructor fills out the mail form & submits it online (this form is
submitted to me & to our general language lab e-mail account), we review the lab
calendars (each room has its own calendar in Outlook) & check for conflicts,
then enter a new reservation as an Outlook calendar event, either as recurring
or single instances, sending an Outlook event invitation to the instructor (the
attendee). We also copy & paste the actual text of the submitted mail form into
the text area of the event entry window for record keeping (no printing
necessary). My part-time staff members and I all have access to this general lab
e-mail account & its associated calendars, making visit entry easy & accessible
for everyone at any time. 

If they decline the invitation, the event is automatically removed from the
calendar, and if they accept, it remains, and both they and we get an automatic
Outlook event reminder 15 minutes before each visit. 

We also post the schedule of current reservations at the lab web page (in *.pdf
format) so that instructors can work around existing reservations (or if they
need to check on ones they've already made but forgot to jot down in their own
files).

LLTIers goodday!
We have 2 language labs (teaching - 20 seats) here at the LLC, VUW and
the room bookings are negotiated before the start of each semester on
the basis of priority from one year to the next as well as more or less
first come first served. 
It is quite challenging every year/semester to be fair and equitable to
everyone particulary when dealing with classes of 100 or more students -
all day booking. A lot of lecturers here are taking technology onboard
and we wish to offer eveyone the same chance to use our specific
equipment and software - limited to the LLC - not the wider campus.
I would really appreciate hearing how you manage your lab bookings i.e
weekly/fortnightly rotations? one-offs? Any experience (good and bad) 
I have seen and heard of online lab management software but haven't
pursued the investigation.
